The challenge
The client ran the business from a single Excel workbook with macros, closer to an invoice-printing template than an accounting system: each new invoice overwrote the last, numbering was manual, and the inventory, cash and customer-balance sheets sat empty. Exchange rates and purities were fixed inside the file, 21K had two conflicting values, and there were no user accounts, audit trail or backups.

What we built
A web-based ERP built around a dual-unit ledger: every entry records pure gold weight (24K grams) alongside its cash value, the way gold traders already settle accounts. It covers wholesale and retail sales, purchases and returns, treasury and banks, inventory and the workshop, financial reports and an archive of official letters, with a separate database for each company.

Key features
- Dual ledger: gold weight + cash
- Wholesale and retail invoicing
- Gold, cash or mixed settlement
- Live gold price, updated automatically
- Inventory by karat, with stock counts and transfers
- Workshop orders with loss tracking
- Role-based access and full audit log
- Official letters on company letterhead

How it's used
Eight roles, and each user sees only what their role allows: the storekeeper can't see costs, sales staff can't see profits, and whoever creates a document isn't the one who approves it. Invoices settle in gold, cash or both; cashiers reconcile their shift; accountants handle vouchers, cheques and banks and close periods; management follows the dashboard and reports, with the gold price updating automatically.

The result
The Excel workbook was replaced by a multi-user system: every invoice is saved and numbered automatically, every change is recorded in an audit log, and data is backed up daily, encrypted, with a weekly restore test.
